POSITION TITLE:
Administrative Assistant for various Health Science Programs
REPORTS TO:
Coordinators of Programs
BASIC FUNCTION:
Multi-task secretarial support for health science programs to include:  correspondence, data entry, telephone, assisting program students, typing, filing, maintaining/ordering supplies, and maintaining budgets.
CLASSIFICATION:
Career Service, grade 9
DUTIES:
  • Mail out acceptance letters and acceptance packets to accepted program students.
  • Prepare and maintain student folders for accepted program students.
  • Maintain database of student records.
  • Finalize background checks on all accepted program students.
  • Attend, take, and type minutes at program advisory board meetings, as well as faculty and student/faculty liaison meetings.
  • Answer telephone, receive program students and potential program students to relay program information, address questions, and provide program selection packets.
  • Monitor and prepare monthly reports for program budgets.
  • Assist with student registration during open enrollment.
  • Obtain competitive quotes for program purchasing needs.  Prepare purchase orders, check requisitions, and petty cash requests.
  • Facilitate student interviews for entry into programs.
  • Facilitate appointments with community for health screenings.
  • Assist with accreditation reports.
  • Mail duty once a week, prepare print job forms, prepare work orders, initiate event forms, assist with program pinning ceremonies.
  • Prepare correspondence and other typing responsibilities.  Make copies as needed.
MINIMUM QUALIFICATIONS:
  • Ability to work flexible schedule to include coverage demands due to training periods/equipment problems.
  • Ability to travel locally and out-of-town on college business.
  • High school diploma/equivalent.
  • MS Office applications
SALARY:
starts at $9.41/hr
